Create a document

To save a new document in your documentary database, click on the " buttonCreation of a document".


Complete the different fields:
Fields marked with a * must be entered.

- File = File in which the document will be recorded. ' / ' will save the document in the general directory.

-Codification= Automatic consolidation of document codification according to predefined setting. This codification can also be completed manually.

- Document title = Designation of document. The following characteristics cannot be used:

- Related Process = Process related to the recorded record.

-Category= Type of record recorded. (paramed list)

- Tags = Keywords for a document search at the GOL home page.

- Date of Validity = Date the document will be obsolete (optional)

- Reason = Reason for documentary recording (e.g. Creation / description of updates…)


Insert the document to save by clicking on the " button "Loading".

If necessary, it is also possible to add:

- A 'Entrance and footer' by checking the associated box. checking this box will display a line at the top of the pages and a second at the bottom of the pages. The displayed message takes the codification as well as the print date and its diffuser.

- A 'Workflow Cartridge' by checking the associated box. Ticking this box will display a validation table on the first page of the cr cr document (or modified) to view the name(s) of the people who had a role in the validation of the document.

In the same way that for creating a folder or subfolder, it is possible to assign action permissions on this new documentary recording. Default permissions will be identical to those defined when the file in which the document is created.

- Click on the buttonat the level of section 'Management of rights' to open the permission management menu.

If you want to start a Workflow (or validation circuit).

- Click on the buttonat the level of section 'Workflow' to open the workflows management menu and select the Workflow.

If you would like to submit a request after validation of the document:

- Click on the button at section 'Request for consultation' to open the associated menu.

- Select the names of persons to whom a notification and/or email must be sent.

- Check box 'AR Reading' if you want to have a traceability of reading in the document lifecycle.

After completing this form, click "Validate"

You then return to the main page of the feature 'Tree'.

To view your record in the registry, click the folder in which it is saved at the tree level.
