Other functions related to the document

To access other documents related to documents, click "Actions".

Edit: Allows the modification of an already registered document.

Archiving: Allows you to transfer a document to the 'Archives' folder

Lock: Allows you to lock the document. A locked document cannot be edited, archived or deleted.

Send email: Allows you to broadcast an email.

Life cycle: All updates made on the document (broadcasting, reading, workflow, ….)

Request for evolution: Allows a user who does not have the necessary permissions to request a document update.

Assignment: Allows the reallocation of permissions for a document.

Download: Allows the download of a document in its format
of origin.

Remove: Allows the move of the document in the 'Trash' folder


Send an email:

This action allows you to send an email via Symalean Software. By clicking on it, a window opens.

Enter the email address of the recipient(s), the subject and the content of the email.

After completing this form, click on the " buttonValidate"

The email will be forwarded to the recipient(s) with the attached document.

To know: When entering an email manually in the 'Email' field, you must click on the email generated in the list for it to be saved in the field.

Left click or press the 'Tabulation' key

Life cycle:

This action makes it possible to view on a register all the changes that have been made to the document since its creation.

Clicking on one of the lines of the different versions of the document, you can view:

- The general information of the document.
- The update reason for each version.
- The workflow performed for each new version and associated comments.
- Information on mail broadcasts made for each version.

Request for Evolution:

This action allows users who do not have the rights to directly edit a document to make a change request.

By clicking on 'Request for Evolution', a record of requests for evolution for the desired document is displayed.

Click on the " buttonCreation request for assessment"


Complete the different fields:
Fields marked with a * must be entered.

- Validation: Allows to select the person in charge of validating, or not, the request for evolution of the document.

- Reason: Description of why the document needs to be amended.


After completing this form, click on the " buttonValidate"

You then return to the register of requests for evolution or your request appears under the status "Pending validation"

An email and notification via the Software will be sent to the designated person responsible for the validation of the request.

To validate the application, the designated person must go to the record of requests for evolution of the document.

Click on the buttonvalidation
Request the response to the request in the "Response" field and click "Validate"or "Refused"
